Privacy Notice and Terms and Conditions

This document outlines the Privacy Notice and Terms and Conditions for participation in YOUTH.SEC.CON, a one-day cybersecurity education Event for high school students (the "Event") organized by HOU.SEC.CON. YOUTH.SEC.CON (referred to as "we" in this document) is committed to protecting your/ your child's personal information. This Privacy Notice outlines how we collect, use, disclose, and handle your/ your child's data in connection with our Event. Please read this policy carefully to understand our policies and practices regarding your /your child's information and how we will treat it. If you do not agree with our policies and practices, your choice is for you to inform us in writing not to keep any of the information provided with respect to you / your child beyond the day of the Event. By participating in the Event, you (individually or as a parent/guardian, if applicable) agree to the terms and conditions set forth below.

 

Privacy Notice

 

Data Collection:

We may collect the following information that you provide to us during registration or that we obtain during participation in the Event:

  • Participant information: Full name, age, school name, grade, and emergency contact details.

  • Guardian information (for minors): Name, contact details, and consent documentation.

  • Event interactions: Feedback forms, photos/videos taken during the Event, and any information shared during activities.

  • We may also receive information about you/ your child from third parties, such as schools. Once we receive such information, it shall be covered by our Privacy Notice.

 

Data Usage:

We use information that we collect about you/your child or that you /your child provide to us, including any personal information:

  • To manage Event logistics and communication.

  • To ensure the safety and well-being of participants.

  • To improve future events and provide follow-up information.

 

Transfer of Your Personal Data:

YOUTH.SEC.CON will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Notice. No transfer of your personal data will take place to an organization or any third party unless adequate controls are in place, including securing your data and other personal information from accidental loss and from unauthorized access, use, alteration and disclosure.

 

Data Sharing and Disclosure:

  • We do not sell or share personal data with third parties for marketing purposes.

  • Data may be shared with Event partners solely for operational purposes.

  • Law Enforcement: Under certain circumstances, YOUTH.SEC.CON may disclose your personal data if required by law or in response to valid requests by public authorities (e.g., a court or government agency), and only to the extent of such requirements.

  • Other Legal Requirements: We may disclose your personal data in good faith if necessary to:

    • Comply with a legal obligation.

    • Protect and defend the rights or property of YOUTH.SEC.CON.

    • Prevent or investigate possible wrongdoing in connection with the Event.

    • Protect the personal safety of participants or the public.

    • Protect against legal liability.

 

Data Retention:

Personal data will be retained only as long as necessary to fulfill the purposes outlined above or as required by law.

Delete Your Personal Data:

You have the right to request assistance in deleting personal data we have collected about you. Please contact us at info@houstonseccon.com for assistance.

 

Security of Your Personal Data:

The security of your personal data is important to us. While we strive to use commercially reasonable means to protect your personal data, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures implemented by YOUTH.SEC.CON.

 

Children's Privacy:

YOUTH.SEC.CON addresses children under the age of 13 with specific privacy protections. The first name collected is processed solely for certificate generation and stored locally, not transmitted externally. If we become aware that we have inadvertently collect personal data from children under 13 without parental consent, we will take steps to delete it promptly. If you believe we might have any information from or about a child under 13, please contact us via e-mail at info@houstonseccon.com

 

Changes to This Privacy Notice:

We may update this Privacy Notice periodically. Any changes will be posted on this page, with the "Last updated" date at the top. We will notify you of significant changes via email or a prominent notice on our website before they become effective.

 

Terms and Conditions

1. Participation Requirements: Participants in the Event must be enrolled in high school and have the consent of a parent or guardian if under 18. By attending, participants agree to follow all Event rules and instructions provided by Event organizers. 

 

2. Liability: YOUTH.SEC.CON, its organizers, sponsors, and partners are not responsible for:

  • Any direct, indirect, or consequential damages arising from the application of cybersecurity knowledge or skills learned during the Event.

  • Loss or damage to personal belongings during the Event.

 

3. Student Safety: We prioritize the safety of all participants and will:

  • Supervise activities to ensure a safe learning environment.

  • Require all participants to act respectfully and responsibly.

 

4. Emergency Aid: In the event of a medical emergency:

  • Participants and their guardians authorize YOUTH.SEC.CON staff to administer first aid and seek professional medical assistance as considered necessary by YOUTH.SEC.ON. 

  • Any costs incurred for medical treatment will be the responsibility of the participant's parent or guardian.

  • Participants and their guardians shall indemnify and hold YOUTH.SEC.CON harmless for any loss arising from any assessment or care, including transportation, provided in connection with the medical emergency. By participating in the Event, you agree to assume any and all risks related to medical issues that may occur to you/your child.

5. Photography and Media: We will not take any identifiable photographs or videos of students, nor will we post any content featuring identifiable  students online without prior consent. However, while we take every precaution to maintain a secure and private environment, we cannot guarantee that other attendees may not take and share photos or videos of participants. We encourage all attendees to respect each other's privacy and to be mindful of others' consent when taking photos.

 

6. Intellectual Property All materials and content provided during YOUTH.SEC.CON are for educational purposes only. Participants are prohibited from reproducing or distributing Event materials without prior written permission from the organizers.

7. Modifications YOUTH.SEC.CON reserves the right to modify these terms and conditions at any time. Participants / guardians will be notified of significant changes.

Student Code of Conduct
The safety and learning experience of YOUTH.SEC.CON. attendees is our top priority. Please review the rules below with your student and confirm that they understand that by attending this cybersecurity event, they agree to:

1.    Respect the Learning Environment – Avoid disruptions, and allow others to learn.

2.    Stay with Your Group – Remain in designated areas and follow event staff instructions.

3.    Prioritize Safety – Follow all event guidelines, be aware of your surroundings, and report any concerns to staff immediately.

4.    Be Respectful – Treat speakers, staff, and fellow attendees with courtesy. Harassment, inappropriate behavior, or being a general nuisance will not be tolerated.

 

Failure to follow these guidelines may result in removal from the event. Guardians will be called and expected to collect their student immediately. By signing below, you are agreeing to pick up your student should they violate any of the rules. 

 

Acknowledgment and Agreement By registering for YOUTH.SEC.CON, you acknowledge that you have read, understood, and agree to the terms outlined in this Privacy Notice and Terms and Conditions. If you are under 18, your parent or guardian's agreement is also required.
